How to Best Vet Property Managers

In the multifamily industry, it’s extremely important that you choose the right person to fill a new property manager position. The new manager has to not only meet your expectations in the office, but they also have to have the people skills to meet the expectations of your residents. Property managers are at the forefront of every property and, in the eyes of the renter, a relationship with them is a relationship with your community. One bad experience with a manager and your reputation can easily decline. While your company has already established a standard when it comes to the property manager position, make sure that your pre-employment screening has these key standards as well. Without these screening standards, you open yourself up to a lot worse than a loss of reputation – legal liabilities.

Criminal Background Checks

First and foremost, you want your residents and other staff members to feel safe. Without thorough criminal background checks, you expose your community and business to potential liabilities. If your current pre-employment screening provider doesn’t process your job applicants through a robust criminal database, you should switch providers now. The guidelines for a good employment screening company are that they have:

  1. both nationwide and county-level criminal searches
  2. expansive and reputable criminal databases
  3. criminal databases from multiple sources

Additionally, your employment screening should be searching for known aliases, using sources like telecommunication and utility bill records to uncover names, addresses, and dates of birth (even nicknames) to minimize the chance that a prospective property manager is trying to hide something.

Proper Drug Screening and DMV Record Searches

On top of checking potential property managers’ criminal history, you might want to consider integrating drug screening and a DMV record search. Dive into the different types of drug testing and decide if the employment screening company you’re using is sufficiently upholding your business’ drug policy.

Quick Tip: A 5-panel drug test checks for cocaine, amphetamine/methamphetamine, opiates, PCP, and THC. A 10-panel drug test checks for THC, PCP, amphetamines, opiates, benzodiazepines, barbettes, methadone, propoxyphene, and Quaaludes.

If you have multiple properties that are spread out, and you expect that your future property manager will have to use a company car (or golf cart, in some cases), looking into their driving records might be a good idea before you hand them the keys. This not only protects your assets, but your company’s reputation.

While you might be in a hurry to fill the position, don’t compromise your policies or pre-employment screening requirements in order to fill the spot. It’s important that you hire a property manager that not only you trust, but that your residents will trust. By using a less-robust, cheaper screening alternative, you put your residents, staff, and business in jeopardy.
